Job Description / Duties
MacEwan University is seeking a detail-oriented Residence and Guest Services Coordinator for a full-time continuing opportunity with our Guest Accommodation Services department. Reporting to the Supervisor, Front Desk and Guest Services, you will manage and coordinate group accommodation bookings for external and internal clients, which includes analyzing client accommodation requirements, preparing accommodation quotes, advising the client on MacEwan University services, creating and managing the booking agreement, coordinating the accommodation and working collaboratively with clients and MacEwan service providers to ensure successful execution of the booking agreement.
Key responsibilities include:
Selling residence accommodations rooms and services;
Monitoring and managing the online StarRez Guest Services booking portal;
Responding to incoming leads, inquiries and question by phone and email;
Acting as the client's primary contact, managing the end-to-end client experience, and liaising between Residence Services, MacEwan service providers and the client;
Interpreting and enforcing all contracted policies, including attrition, minors on campus and cancellation policies;
Identifying, communicating and assisting the client and service providers in resolving any issues or problems that may arise during the stay;
Preparing booking agreements and client invoices;
Conducting regular post-stay calls and surveys;
Researching, developing and obtaining prospective clients, business and events for MacEwan;
Assisting with maintaining records, strategic planning, compiling reports and statistics on Guest Services activities, and hiring and training staff;
Assisting with residence move-in/out, open house and other events and projects; and
Conducting room inspections.
Qualifications / Required Skills
Excellent verbal, written, and interpersonal communication skills;
Excellent organizational skills, with the ability to manage a detailed and diverse workload and client portfolio, while prioritizing and completing tasks in a timely manner;
Strong problem-solving and decision-making skills, with the ability to work independently, be proactive, and take initiative;
The ability to maintain confidentiality and work in a professional, service-oriented and tactful manner;
Proficiency with data entry and Microsoft Word, Excel and Outlook programs; and
Strong familiarity with hospitality and property management systems and software, such as StarRez.
Additional Information
Qualifications
A minimum of a post-secondary diploma in a related field.
A minimum of 3 years of relevant experience in a student residence, hotel or similar hospitality environment.
Experience supervising and training front-line staff is considered an asset.
An equivalent combination of education and experience may be considered.
Position Requirements
The ability to work varied hours, which can include evenings, weekends, and overtime to accommodate operational needs.
Rotating on-call coverage is required from May to August.
Salary: $47,471 - $69,036 per annum (MSA Band D)
